This Privacy Policy explains what information we collect, how we use it, when we share it, how we retain it, and the choices available to you when you use our website, forms, social media channels, tutoring services, competitions, or communicate with us.

Our services are operated from Pakistan and this Privacy Policy is primarily intended to describe our practices in Pakistan.

1. Information We Collect

The information we collect depends on how you interact with The Linkers Academy. 

A. Students, Parents and Tuition Enquiries 

When you contact us or submit a tutoring enquiry, we may collect information such as:

• Name

• Grade or educational level

• School

• Examination board

• Subjects required

• General location

• Tuition preferences

• Budget information, where relevant

• Phone or WhatsApp number

• Other information you voluntarily provide

Where a student has particular educational or support needs that are relevant to finding an appropriate tutor, we may collect information about those needs when voluntarily disclosed to us.

B. Tutors 

When tutors apply to join The Linkers Academy, we may collect:

• Full name

• Curriculum vitae (CV)

• CNIC picture

Tutor information is handled by authorised administrators of The Linkers Academy.

C. Competitions 

For online competitions, we may collect information such as:

• Participant's name

• Age

• Phone number

• Parent or guardian information

• Competition-specific registration information

• Submitted artwork, photographs, videos or other required materials

Because some of our competitions are intended for children and young people, we may process information relating to minors after seeking parent/gaurdian consent.

D. Payment Information

We accept payments through Easypaisa and Bank.

We may receive transaction details or screenshots provided as proof of payment. Payment proof is used to verify transactions and is not intended to be retained as a long-term record where it is no longer required.

We do not request or store full card details. 

2. How We Use Information

We use personal information for purposes including:

• Responding to tutoring enquiries

• Understanding a student's tuition requirements

• Matching students with suitable tutors

• Communicating with students, parents and tutors

• Processing tutor applications

• Providing tutor CVs to schools where relevant to recruitment or placement

• Registering participants for competitions

• Receiving and judging competition submissions

• Issuing certificates

• Publishing competition winners or selected submissions where appropriate and where permission has been obtained

• Processing and verifying payments

• Providing requested services

• Sending occasional promotional or informational communications

• Maintaining and improving our services

• Complying with applicable legal obligations

We do not sell or rent personal information to third parties.

3. Sharing Personal Information 

We only share personal information where it is necessary for the relevant service or where you have given permission, subject to applicable law.

Students and Parents

Where necessary to arrange tuition, we may share the relevant tuition requirements with a tutor. We only intend to share information that is reasonably necessary for the tutor to understand and provide the requested service.

Tutors

Where a tutor is being considered for a school opportunity, we may provide the tutor's CV to the relevant school.

Tutor information is otherwise restricted to authorised administrators.

Competitions

Where permission has been obtained, competition-related information or materials such as a participant's name, artwork, photograph or video may be used on The Linkers Academy's website or social-media platforms.

We do not sell competition submissions or participant information.

4. Children/Minors's Information

The Linkers Academy provides services and competitions that may involve children and young people.

We may therefore receive personal information relating to individuals under 18.

We do not intentionally require children to provide unnecessary personal information. Where a minor independently submits information through a form or contacts us, we may process that information for the relevant service or competition.

For competitions involving minors, parents or guardians may be asked to provide information or consent where appropriate, including for publication of a participant's name and submitted work.

We encourage parents or guardians to supervise children's use of online services.

If we become aware that a child has provided personal information that should not have been collected, we will take reasonable steps to review and delete that information where appropriate.

5. Forms, Google Services & Other Tools

We may use services such as Google Forms and Google Sheets to collect or organise information submitted through our website and registration processes.

These tools may be used for initial collection and administrative purposes. We do not intend to retain information in forms or sheets indefinitely and may transfer relevant information to our internal records when required for ongoing operations.

Our website may use Google Search Console for website monitoring and search-performance information.

We do not currently use cookies for advertising or behavioural tracking on our website.

Third-party platforms such as WhatsApp and Instagram have their own privacy policies and terms. Information sent through those platforms may also be processed by those providers.

6. How Long We Keep Information 

We retain information only for as long as reasonably necessary for the purpose for which it was collected, subject to legitimate operational, legal or administrative needs.

Student / Tuition Information

Generally, information relating to a tuition enquiry is retained until the tuition has successfully started and is no longer required for that purpose.

Tutor Information

Tutor records, including CVs and CNIC information, may be retained on an ongoing basis (unless the tutor explicitly requires all data to be cleared) so that we can manage our tutor network and consider tutors for future opportunities.

Competition Information

Competition registration information and submissions may be retained until the relevant competition has concluded and associated administrative activities have been completed.

We may delete information earlier where it is no longer required or where a valid deletion request applies.

Subject to applicable law and our legitimate operational requirements, you may contact us to request:

• Access to personal information we hold about you

• Correction of inaccurate information

• Deletion of information

• Withdrawal of consent where processing is based on consent
